Dear Alumni and Friends,

 

The 2017 Annual All Classes Reunion/Convention is approaching rapidly. It will convene July 7, 8, and 9, 2017 at the Alumni Building, located at 2618 Ave C, Bay City, Texas. There will be plenty activities for everyone as we get together to renew friendships and visit with all of our classmates who we may not have seen for some time! This Reunion/Convention focuses on all graduates of Booker T. Washington, AG Hilliard High School and Bay City High School, as well as our legacies!

Yes, this includes your children, grandchildren and any other family members who may not have graduated from these schools but have ties to those who did.

 

Our theme this year is: “The Difference We Can Make Begins With You” This is exactly what we have tried to accomplish this year. The annual Heritage Banquet was held on Saturday, March 18, 2017.

Our Banquet speaker will be the legendary Coach, Mr. Joe D Washington, now of DeSoto, Texas

By the way, we invite you to support YOUR Association, even if you cannot make it to the Reunion/Convention. We have never had a major mishap to occur in 29 years, so let’s keep our Association strong by making sure that your name remains a permanent part of our history. This can be accomplished by each of you placing a personal add for as little as $25.00, either via a business card or simply a congratulatory note to the Association for keeping our school and community history alive since the closure of Hilliard High School. On the other hand, we would love to get ads from some of your churches, favorite restaurants, banks, family or stores where you shop… even from your city officials!

This is an election year, so in order to vote for incoming officers of your choice, you mustbe a paid member. Membership dues are $30.00 per year. The Reunion/Convention registration is $50.00 per person for the entire weekend activities. Early Registration ends June 17, 2017. This allows us to plan efficiently for your arrival.

If you have any photos, artifacts or a list of former teachers who taught at Booker T. Washington or Hilliard High Schools, please submit those to us for history purposes. We will ensure that you get your photos back, if you so desire. Lastly, but not least, if any of you know of the death of someone since last Reunion, please let us know before the end of June. They will be remembered during the Memorial Services on Sunday, July 7. Also, the schedule of events, hotel and registration information is enclosed for your benefit. Please share this newsletter with others who we may not have an address on in our data base.

Feb. 18, 2012 HHAAI Meeting Minute Highlights

The meeting was called to order by President Pat Spiller Jackson at 10:00am.

 

Carolyn Sue Flagg gave the prayer and the Pledges.

 

The thought for the day was given by Dorothy Walton: “Ups and downs, wins and losses! What makes us special is that we are a team.”

 

Minutes from the last meeting was not read.

 

The Treasurer’s report was given by Louis Ray. It was noted that the Seretha Hilliard Scholarship Fund is almost depleted. We will notify a family member to see whether this fund will remain active since the family initiated the fund. The idea of raising the Alumni Scholarship was presented and will be discussed at a later time. The Treasurer’s report was accepted and approved.

 

The Membership Committee reported that over 400 letters were mailed out along with a newsletter.

 

The Grounds Committee, chaired by Eugene Johnson, gave feedback on maintaining the yard since the drought as well as a crack in the floor. The building must be secured at all times. A new rental contract needs to be written to insure the safety of the building.

 

Each Board member was asked to sell ten tickets to the Heritage Banquet for March. Contact with Head Start and possible speakers will be made before the next meeting.

 

The web page is in process of being updated by our webmaster.

Jan. 21, 2012 HHAAI Meeting Minute Highlights

The meeting was called to order by President Jackson at 10:10am.

 

Prayer was offered by Eugene Johnson and the Pledges were led by Jimmie Lee Brown. The school songs were omitted. Judge John Paul Davis gave us the thought for the day.

 

The minutes were read by Ruth Young and were approved by all.

 

The Treasurer’s report was given by Louis Ray and accepted as presented.

 

Robbie Hart gave us insight regarding what is needed to help her preserve our history. She was requested to present what she has unfolded in writing as soon as possible.

 

Devora Hebert reported that two gift certificates were given out as our Christmas Cheer to two community persons.

 

Carolyn Sue Flagg stated that Membership Letters, as well as an attached Newsletter, will be mailed out next week. She requested that whoever could stay after the meeting to help prepare them for mailing would be appreciated.

 

Louis Ray stated that the tables will be purchased by next meeting and that everyone had paid his or her pledges.

 

A discussion was in order to see if the Association could sponsor some activity for the youth of the community during Spring Break. This will be checked out and revisited at the next meeting.

 

Carolyn Sue Flagg will secure a speaker for the Heritage Banquet as soon as possible.

 

A possible site for the Reunion/Convention was discussed and will be looked into by the next meeting by Annie Bratcher.

 

The last thing on the agenda was discussion of the theme, which will be: “Believing, Celebrating and Serving with Excellence.”

 

The meeting was adjourned at 11:55am.

Nov. 19, 2011 HHAAI Meeting Minute Highlights

The meeting was called to order by President Jackson with the prayer by Louis Ray. Both pledges to the flags were omitted as well as the school songs.

 

Thought for the day, “After all is said and done, a lot more is said than done,” was given by Dorothy Walton.

 

Mr. Ray gave the Association a copy of the 2010 Tax Forms that were filed as well as the standard Treasurer’s report. It was approved by all.

 

The President provided feedback on a grant given for a project in Giddings that focused on tobacco us and prevention for teens. Due to concern about expenditures, the Treasurer compiled and provided this information to the Board. The Board discussed that adherence to the restrictions of the By-Laws would be a better way to handle the concerns, so it was moved to make no decision at this time.

 

Bay City High School submitted a request to the Association for placing an Ad in their yearbook. This was voted upon to submit the Ad which may encourage graduates from the school to become a part of the Alumni Association.

 

The Board had decided to purchase tables for the building back in June and each member present decided to donate a table instead of taking money out of the treasury.

 

Because we are in partnership with Head Start, a reminder went out that we still need to go and read to the children there during the week.

Hanging of the Green chairperson, Ruth Young, stated that the affair will be 12/10/11, 6-9pm at the Alumni Building. Mail outs will be sent on next week inviting the community to come. Donations were set at $10 per ticket.

 

The Thanksgiving Basket Chair, Devora Hebert, will be in charge of getting the baskets ready for two senior citizens for Thanksgiving. Louis Ray motioned that were give money or gift certificates for this purpose. Harry Saucedo seconded the motion and it was so moved. Annie Bratcher was requested to work on that committee.

 

The All Classes Reunion/Convention was later discussed. One possible speaker considered was Odelia Peters. She will be contacted for this purpose. The theme for the Convention will be discussed at the next meeting. Annie Bratcher will secure Best Western Hotel for the Reunion.

 

Membership Letters will be mailed out in January. The Variety/Talent Show for the Convention will be Dorothy Walton. The President stated that the Hall of Fame for Bay City graduates will be worked on for the next Convention in 2013. She requested that the committee consist of those members who live in Bay City and can obtain information that is needed to do so. Those members were: Donnye Stone, Jewell King, Devora Hebert and Carolyn Sue Flagg. They will be contacted before the next meeting.

 

The meeting was adjourned at 11:45am.

Oct. 15, 2011 HHAAI Meeting Minute Highlights

The meeting was called to order by President Pat Spiller Jackson.

Prayer was offered by Carolyn Sue Flagg with the Pledge of Allegiance given by Eugene Johnson.
Mr. Johnson led us in the school song and Carolyn Sue led us in the Bay City High School song.

 

The “thought for the day was given by Devora Hebert, being: “It’s nice to be important but it’s more important to be nice.”

 

The minutes of the last meeting was omitted since no meeting was held in September.

 

The Treasurer’s report was given by Louis Ray. A motion was gen to accept the report as presented and properly seconded. Everyone was in favor of the motion.

 

The Convention report was given by Louis Ray. There were 158 Conventioneers present and 128 paid membership dues.

 

The Youth Back to School Health Rally was well attended on Aug. 11, with prizes and refreshments being given out to each child.

 

The rest of the meeting entailed gearing up for the next Convention and discussing how to make the Convention better.

 

Meeting was adjourned with prayer.

Notes from last meeting read and approved

Treasurer’s Report given and approved:

Treasurer reported that association taxes will be filed by March 31, 2011.

The board approved the suggestion to clean out and move the file cabinets blocking the breaker boxes in the storage room.

 

Committee Reports:

• Committee Chairperson, Pat Wiggins, stated the scholarship application are ready and will be sent to the area schools next week. The deadline is April 15, 2011.

 

• The Heritage Banquet was a huge success. The Chairperson, Carolyn Sue Flagg and her committee did a superb job.

 

• Membership letters were sent out as well as being posted on the website.

 

• Youth Function is in the planning stage for June 2011.

 

• Convention Committees Reports:

• Variety Show Chairperson Dorothy Walton; the variety show will be held at the Bay City Service Center on Friday evening July 1, 2011.

• Convention location was secured and the Best Western offered a block of rooms for $55.00 each for the convention. The Hospitality Room was also secured for the banquet.

• Convention Dinner; the caterer has been secured and menu narrowed down. Menu and cost will be presented for approval at the next meeting.

• Souvenir Booklet will be coordinated by Lois Armelin. Deadline for business advertisements is set for June 2.

• Information is scheduled to be sent to conventioneers by April 30, 2011.

• Deadline for registration for convention is set for June 10, 2011.

 

Other convention business discussed:

• The decision to leave the convention cost the same as previous years was motioned and approved by the board.

• Election year. The candidates and the election process will be discussed at the April meeting.

Treasurer’s Report given and approved

• Treasurer requested al monies received by counted in his presence.

• Rexnord donated $250 to match the contribution given by Bobby Brown during the 2010 Reunion/Convention.

• Web Site maintenance costs were discussed.

• President Jackson polled the board on the association remaining a member for the Chamber of Commerce. APPROVED to continue the membership with the Chamber of Commerce.

 

Committee Reports

THANKSGIVING BASKETS – Eva Marende and Devora Hebert

• 1 basket was given to Willie Bell Copeland.

• All monies and remaining canned goods were donated to the Women’s Crisis Center.

o Received a Thank You letter from Eugene Davis, Director of the Women’s Crisis Center in Bay City Tx.

o We were asked to help promote a “Chicken Fried Steak Dinner” fundraiser for the center. Advertisement flyer for this event was put on the HHAA website.

 

HANGING OF THE GREEN – Ruth Young

• Successful

• Raised over $1,100 dollars

• Over 50 people attended the event

 

SCHOLARSHIP

• No report given

 

HERITAGE BANQUET – Carolyn Flagg

• Scheduled for March 19, 2011, 6-9

• Speaker Kesha Moore, Houston ISD and Bay City High School Alumni 1988

• Tickets $10, will be available at 1/15/11 meeting

 

REUNION/CONVENTION

• Theme: “Overcoming Time and Distance” adopted from the theme – Time and distance makes the appearance of some task seem massive. APPROVED

• Location has been established:

RICE FESTIVAL
• Annie Bratcher received a special thank you for allowing the HHAA to use her truck for Rice Festival Parade.
• Volunteers that helped to decorate the truck were thanked.
• HHAA sponsored Ciara Adams (great grand daughter of R.L. Williams) of Bay City High School for the Rice Festival Queen Court.
• Comment made by, Mitch Thame, one of the judges for the parade entries: "HHAA, Inc., this is our history and in the back is our future." (In the front seat of the truck were HHAA board members and in the back of the truck were children)

 

THANKSGIVING BASKETS
• Thanksgiving baskets were discussed. Names were requested from the chairperson.
THANKSGIVING BASKETS – Eva Marende and Devora Hebert
• 1 basket would be given out using the food already collected.
• Monies have been donated toward the purchase of other items for the basket.
• It was suggested that the association donate the money given for the baskets to the Women’s Crisis Center in Bay City Texas: APPROVED
• $ collected and donated.

 

HANGING OF THE GREEN – Ruth Young
• Suggestion made to schedule the event earlier to prevent overlapping with other events in Bay City. [Board approved to address this suggestion at the 12/18/10 meeting]
• Discussed the mail outs for the Hanging of the Green. Pres. Jackson requested that a flyer and donation envelope be sent to each alumnus on the list.

 

SCHOLARSHIP
• Ida Belle Hawkins (Pres. Houston Metropolitan Chapter) requested that the Houston Metropolitan chapter be responsible for the funding of the Seretha Hilliard scholarship, but will leave the control of the distribution of the scholarship to the association. APPROVED
• There was money left in the scholarship fund account which will remain in that account: APPROVED

 

GUEST SPEAKER: CIARA ADAMS, sponsored by the association for the Rice Festival.
• Ms. Adams commented that she was honored for the association sponsoring her for the pageant. She stated, “we don’t have many African American organizations helping our African American children.”
• Donnye Stone volunteered to check on getting a picture of Ciara as a pageant participant.

• Board members will work together on the reunion/convention dividing as committees to create the team. APPROVED

Oct. 2, 2010 HHAAI Meeting Minute Highlights

The meeting for October 2, 2010 Board Meeting was called to order by President Jackson. This meeting was held earlier to allow the Association to be available to participate in the Rice Festival parade.

 

Prayer was offered by Louis Ray with the minutes of the last meeting being read by Lois Armelin. The minutes were approved as read.

 

Louis Ray gave the treasurer’s report which was approved by the Board. He reported that the roof had rain damage but had been repaired.

 

The Board agreed to enter a decorated vehicle in the Rice Festival which is to be held on the third Saturday of the month. Robbie Hart volunteered to head this project. Those who would like to help decorate the vehicle will meet on the Friday night before to prepare the decorations. There is a community project, “Monopoly Board Walk,” being conducted by the Economic Development Committee of Bay City. We will inquire about participating in this.

 

Our “Thanksgiving Baskets” will be prepared by Eva Marende and Devora Hebert. All Board members are asked to bring can good, non-perishable goods and monetary donations to the next meeting to help implement this project.

 

Annie Bratcher will secure a hotel for the next Convention as well as obtain bids for a band. Dorothy Walton will reserve the Service Center as an alternate to our Friday night activity. More brainstorming was done to find additional activities for fund raising purposes.

 

The next meeting will be held on November 20, 2010 and the food baskets will be prepared at this time. The meeting was adjourned with prayer.
