The meeting was called to order by President Jackson with prayer.
This was the first meeting after the All Classes/Reunion Convention held in July. Due to this being an informal meeting, the usual agenda was not followed.
The treasurer’s report was given by Louis Ray. The Association is in good financial standing.
The minutes from the Convention were not read but were received by the President. The Convention Chairperson, Dora Duncan, resigned effective immediately. There was a period set aside for brainstorming for the coming year’s activities. Many suggestions were received and written down for discussion at the next meeting. This year, the Convention will be managed by the entire Board as a team. Bobby J. Brown, Vice President will coordinate this activity. We will look into having a “family plan” rate for the Convention. Thank you letters will be sent to all who placed ads in the souvenir booklet. The addresses site will be updated as soon as correct addresses can be located.
The Board decided to participate in the Rice Festival this year by entering a decorated vehicle and sponsor a young lady to run for the Rice Festival Queen. In this way, we will be giving back to the community and inspiring young people to become a vital part of the Association.
The next meeting will be held on October 9, 2010 due to preparations for the Rice Festival. The meeting was adjourned with prayer.

The Board Meeting was called to order by the President, Pat Spiller Jackson at 10:00am.
Prayer was given by Eugene Johnson. The Pledge of Allegiance was lead by Pat Spiller Jackson. The Hilliard High School Song was led by John Paul Davis and the Bay City High School Song was led by Bobby Brown. Eugene Johnson gave the Thought for the Day.
The minutes from the last meeting were read, accepted and approved by the board.
The Treasurer’s report was given by Louis Ray. The report was accepted by all.
Scholarship Report, Patricia Wiggins: Scholarship recipients were announced on May 04, 2010. Le Tavis Wilcox and Tavoris Southall Mack.
Historical Project Report, John Paul Davis: The proposal of where to hang the pictures of the past and present Presidents Presidents of the Association was presented. The pictures of the former Principals would be placed in the main meeting room.
Heritage Banquet, Carolyn Sue Flagg: The banquet was a success.
Ruby Holbert requested that she present a short skit on "The Colors of Africa" during the Gospel Concert on Friday night at the Convention. This was granted.
Lunch on Saturday during the Convention will be provided by Head Start, as well as a tour of the old Hilliard Building led by Head Start Executive Director, Mrs. Helen Wright.
A donation of $100 was given to MEHOP at the request of President Jackson.
The next meeting will be held on June 19, 2010 at 10am.

The Board Meeting was called to order by the 2nd Vice President at 10:05am. Prayer was given by Pat Wiggins, the Pledge of Allegiance was lead by Eva Marende, the Hilliard High School Song and Bay City High School Song were lead by Bobby Brown. Ruth Young gave the Thought for the Day: “If you always do what you’ve always done, you will get what you’ve always gotten."
The minutes from the last meeting were read by Lois Armelin. They were approved and accepted without any changes.
The Treasurer’s report was given by Louis Ray. The report was accepted by all.
Scholarship Report, Patricia Wiggins: 10 Scholarship applications were sent to each school in the Matagorda County area. As of 4/17/10 only 2 applicants had responded. The deadline is 4/20/10.
Membership Report, Bobby Brown: The names of all members have been put on a spreadsheet in the computer. The Chairperson suggested that the reunion registration list be added to the webpage to provide information to potential convention attendees.
Historical Project Report, John Paul Davis: Pictures of some of the past and present African American school principles have been framed and are ready to be placed in the Alumni Building. The Committee Chairperson stated that the cost of this project has been donated. The Chairperson also provided information on the next project of this committee -- the Hall of Fame Inductees.
Web Site Update Report, Bobby Brown: A draft was presented of a memo that can be used for donations from companies that will match monetary donations to the association. The Chairperson requested different types of historical information be placed on the web page. This was approved by the board.
Heritage Banquet, Carolyn Sue Flagg: The banquet was a success and over $500.00 was raised.
The All Classes Reunion/Convention, Dora Duncan: The Chairperson stated that over 528 invitations have been mailed out. The workshop on Mental Health has been added to the agenda. The board agreed to do the scholarship presentation at the banquet. Registration will be provided at the Association Building from 10am – 2pm for those not attending the festivities at the Ashwood Retreat Facility. The chairperson was asked about additional transportation for those convention attendees traveling and do not have transportation to the Ashwood Facility. Transportation will be available if needed. The chairperson presented discount information from the Comfort Inn in Bay City Texas. They are giving any Association member a discount on room rates, not just for the convention but anytime.

The Board Meeting was called to order by the President at 10:15am. Prayer was given by Eugene Johnson, the Pledge of Allegiance was lead by Eva Marende, the Hilliard High School Song was lead by Dora Duncan, the Bay City High School Song was lead by Donnye Stone, and the “thought for the day” was given by Sharon Spiller: “Continue to keep the Lord in front of us and He will continue to guide us in our way.” Each Board member had the opportunity to express his or her thoughts regarding this thought.

The Treasurer’s report was given at the request of Louis Ray, Treasurer. The minutes were accepted.
The Building Improvement/Repairs completed with an additional $30.00 added to original estimate.
Historical Project, John Paul Davis Chairperson with Joe Ann Davis, Lois Armelin and Donnye Stone. Chairperson submitted a proposal for displaying pictures of former Alumni Presidents and African American Principles in Bay City ISD.
Heritage Banquet scheduled for March 20, 2010. Devora Hebert reported in Chairperson Carolyn Sue Flagg’s absence. Passed around program draft and requested any changes. Menu. Request was made for all board members to be responsible for selling 5 tickets for the banquet. Tickets are $10.00 each.
The All Classes Reunion/Convention Chairperson, Dora Duncan, gave the following report: a list of current and past Convention Booklet advertisements were compiled for prospects for this year’s booklet. Efforts will be made to mail out registration packets on or before March 2, 2010. Registration will end on June 2, 2010. After a lot of discussion it was voted that the convention fee would remain $35 for convention attendees. The chairperson stated the following is still needed: an individual to introduce the speaker and plaques. Other topics discussed were a Gospel Concert on Friday July 2, 2010 and Opening Session, the possible workshops the morning and afternoon of July 3, 2010 and the Memorial service on July 4, 2010. Dora Duncan, submitted her resignation as chairperson of the All Classes Reunion Convention, she was asked to reconsider her resignation which she agreed to and stated that she would response at a later date.

Minutes of the Hilliard High Alumni Association, Inc Board Meeting
The Board Meeting was called to order by the President at 10:15am. Prayer was given by Ronnie D. Reeves, the Pledge of Allegiance was lead by Donnye Stone, the Hilliard High School Song was lead by Dora Duncan, the Bay City High School Song was lead by Bobby Brown, and the “thought for the day” was given by Eugene Johnson: “For God so loved the world that He gave His only begotten Son. God gave because He loves us.” Then his questions to us were: “What do we have to give?’ and ‘When we do give, are we doing it expecting something back?” Each Board member had the opportunity to express his or her thoughts regarding this thought. A special prayer was done (in silence) in memory of our beloved Hilliardites who have died since our last meeting. J.J. Woods requested a special prayer for Martha Brown on the passing of her mother.
The minutes were read by Lois Armelin. Two changes were made to the minutes concerning the amount of the bid for the roof repair and the webpage designer. The minutes were accepted.
The Treasurer’s report was not given at the request of Louis Ray, Treasurer, because no bank statement was received prior to the meeting.
The Building Improvement/Repairs were originally scheduled for Monday, December 14, 2009, but could be postponed due to bad weather conditions.
Devora Hebert and Eva Marende gave an update in regards to our Thanksgiving Baskets Project. Five families were given the baskets and there was money donated to purchase additional supplies to be added to the baskets.
Hanging of the Green /Christmas Party, chaired by JJ Woods, was reported to be on schedule for the evening of December 12, 2009.
The All Classes Reunion/Convention chairperson, Dora Duncan, presented a draft of the upcoming convention for review. She also reported that Best Western Hotel has been secured as the location of the banquet/dance on Saturday night, July 3, 2010. The picnic will be held in Ashwood at the Ashwood Palm Retreat on Friday, July 2, 2010. Further information regarding the convention was presented and tabled until the next monthly meeting for discussion.
The 2009 Christmas Basket will be given to one family during the week of Christmas.
Vice President Bobby Brown reported that the membership drive efforts were on schedule. The webpage will include membership information as well as hardcopy letters sent to potential members. VP Brown also suggested ways the webpage could be used to generate funds for the association.
The board members elected to have Ms B. J. Brown continue to maintain the web site for the Association.
Ronnie Reeves opened discussion regarding a concrete Panther that will be donated to the Association from his class to be placed in front of the alumni building.
VP Brown opened discussion on requesting donations from companies that have a matching donation policy. One such request has been placed with his company.
The next meeting will be held on January 16, 2010, at 10am. The meeting was adjourned with prayer.

Minutes of the Hilliard High Alumni Association, Inc Board Meeting
The Board Meeting was called to order by the President at 10:05am. Prayer was given by Louis Ray, the Pledge of Allegiance was lead by Mildred Allen, the Hilliard High School Song was lead by Dorothy Walton, the Bay City High School Song was lead by Devora Hebert and Carolyn Sue Flagg, and the “thought for the day” was given by Dorothy Walton: “People don’t care how much you know, but they know how much you care. Each Board member had the opportunity to express their thoughts regarding this statement. A special prayer was done in silence in memory of our beloved Hilliardites who have died since our last meeting.
The minutes were omitted due to the absence of the Secretary. The Treasurer’s report was presented by Louis Ray.
On Friday, November 20, there was a community fund raising activity for Kathern Wilkerson Cathey due to health reasons. The Association donated the use of our facility to sell fish dinners. Mrs. Cathey is a member of the Class of 1975 and the daughter of one of our own. Our community has been commended for such a caring act of kindness.
Committee reports were presented next.
The Building Improvement/Repairs report was given by Louis Ray. The building is in need of roof replacement on the north side of the house. A bid was accepted by the Board to repair the roof as soon as possible.
Project Thanksgiving Baskets was presented by Devora Hebert and Eva Marende. There are five families we will donate the baskets to by Monday, November 23.
Hanging of the Green /Christmas Party, chaired by JJ Woods, will be held on December 12, at 6pm. A donation of $10.00 is being requested since this is a fund raising activity. The dress will be semi-formal. Door prizes will be given and good food will be served. The services of Ms. Francis Dale as “DJ” for the evening was secured by Mrs. Woods as her donation to the Association. Ms. Woods also presented the Association money donated by her co-workers to purchase turkeys for the food baskets.
The All Classes Reunion/Convention chairperson, Dora Duncan, reported on the location of a facility to have the banquet/dance on Saturday night, July 3, 2010. It will be held at the Best Western Hotel again. The picnic will be held in Ashwood at the Ashwood Palm Retreat at no charge to the Association. This property is owned by Willie Rollins, a graduate of Hilliard High School. Some of the attractions are: ping pong, volleyball courts, basketball courts, a golf driving range, a kitchen and BBQ pits.
A letter was read from BJ Brown, the daughter of Bobby Joe Brown, offering her continued service to maintain the web site for the Association. This web site was designed by her and has added sophistication to the Association. A motion to secure at least two more persons who would like to bid for the position of webmaster was made. Dora Duncan volunteered to solicit for interested persons. A finalization of this will take place at the next meeting.
The next meeting will be held on December 12, at 10am. The meeting was adjourned with prayer and a delicious meal (prepared by Annie Bratcher) was enjoyed by all.
